Docman Referral
Management System (RMS) provides Trusts with a complete electronic document
management and workflow solution for managing all referral documentation from
external and internal sources.
Managing
incoming referrals that are received in differing ways can be a challenging and
time consuming process. Letters may arrive into the organisation as a hard copy
document, email, choose and book or by fax, adding to the complexity of
managing this process. Documents arrive into the Trust in a variety of ways and
create a huge workload for administration professionals. Letters need to be
sorted and transferred to a Clinicians intray, without the ability to
track where documents are in the process. Patients may call the hospital for an
update on their referral and the hospital may not be able to tell them where
the letter is or whether they have received it. Using Docman RMS will ensure no
paper is mislaid, ease-of-access to information and processes are streamlined
and flexible to the ways professionals works.
Benefits

administration staff time (searching, capturing data and workflow)

King's College Hospital NHS Foundation Trust has chosen Docman to
electronically manage referral letters as part of their strategy to become
paper-light. The Referral Management
System (RMS) will be used to reform the process by which referrals for
outpatient services are logged, vetted and graded by clinicians and tracked
through to appointment booking. The RMS
implementation of Docman forms part of a wider programme which includes plans
to re-organise the referral and outpatient booking activities.
The solution will be used right across the Trust enhancing and speeding
up the flow of information between departments, where paper processes can be
time consuming and constrained.
Ric Thompson, Managing Director, PCTI “We are delighted to have King’s
as our first secondary care Trust to use Docman in England. We have some really exciting plans for Docman
in secondary care which will help Trust’s transform the way they manage their
information. We are building on our many
successful years of providing Docman in primary care where it is used by more
than 5,500 practices to support over 20 million patients.”
The Docman RMS platform provides
you with:
- A central
repository for electronic copies of all referrals, regardless of their source provides
a reduction in time spent tracking letters/managing queries. This reduces
patient complaints and the Trust operates in more consistent time scales.
- The
ability to electronically transfer copies of referrals from Choose and Book and
referrals received by email and to create digital images of paper referrals. This provides a single source to manage
incoming referrals and quickly capture them using intelligent software tools,
estimated to save three minutes per letter. This reduces validation effort and
ensures the data is right first time.
- A
flexible and highly configurable workflow tool to allow clinicians and admin
staff to tailor and track the referral grading and booking process according to
the needs of individual specialties. This streamlines the approach for managing
urgent referrals and also provides ease of access to information when
responding to patient queries.
- To keep
an electronic record of all activity in relation to the management of each
referral, commencing at the earliest possible point in the process and
providing a comprehensive audit trail. This improves the consistency of
referral data for RTT management.
