How many patients does your practice serve?

We have approximately 11,500 patients.

How many letters does the practice process per week?

The practice processes between 350 – 400 letters per week with Docman. This includes both physical and electronic letters.

How has Docman helped to save time in your practice?

In terms of document management, there is no equivalent to Docman and after attending a Docman Workshop I was very impressed with the updated iWorkflow module. I knew that iWorkflow could further enhance time savings for the practice.

iWorkflow has saved our GPs a huge amount of time as it allows us to set up our own Quick Steps to speed up the process of sending documents to various people within the practice. Using Quick Steps, we have reduced multiple clicks into one or two mouse clicks. We have Quick Steps such as:

  • Read Code
  • Prescriptions
  • Book Appointment
  • Complete

Our Quick Steps have helped us to save hours of staff time, reducing clicks and automatically routing documents to the correct person.

Using Docman’s clinical content recognition functionality, the practice has saved approximately one hour per day in staff time.

Intellisense saves between 30-60 seconds per document as it automatically detects the filing information that we need and it helps with our Coding.

Using Intellisense and iWorkflow, we are able to scan in all of our documents and easily distribute them around the practice to share the workload and ensure letters are dealt with quickly.

How has electronic document transfer improved efficiencies in your practice?

We receive most of our letters electronically into Docman, the majority of which come from Macclesfield Hospital and Steppinghill Hospital. The amount of letters that we receive electronically has increased very much and we are happy to receive all correspondence in this way as it has so many benefits.

We receive letters such as Discharge Summaries, A&E reports and any other clinical post that we would usually receive from the hospitals.

We save so much time with EDT as we do not have to scan the letter in; it comes straight into Docman with attached meta data to automatically populate the filing fields. We only need to make one small check to ensure that the data is correct and it is filed in one click.

We also benefit from having much clearer and up-to-date information which is accurate and processed quickly.

In comparison to the old paper process, electronic document transfer is so much more efficient and the paper process is very time consuming.

Overall, Docman has provided a positive experience for our practice. It is a very useful solution that allows us to save a hours per week.
