A selection of bespoke Docman training modules are available from which you can pick and mix, to suit your requirements. Whilst covering Docman basics such as workflow, non-patient filing, summarising and reporting, the programme can cover more advanced areas such as system maintenance and practice process redesign.

Who should attend?

This course can be tailor made to suit your needs and can be attended by any member of the practice.

Delegates do not need any previous training or experience on Docman.

Objectives

By the end of the course delegates will be able to understand all the areas of Docman requested.

Course Details

This full-day hands-on course runs from 10:00 until 16:00. A maximum of 6 delegates per course unless a projector is available in a suitable room. There is 5½ training time available to use however you wish.

Course Content

A.    Scanning / Filing (2 hours)
This session will require the attendance of key members of staff that will carry out the daily scanning and filing process.  This may be existing scanning / filing staff.

B.    EDT – Electronic Document Transfer (30 minutes)
This session will cover the electronic transfer of documents from your hospital or other provider. We will show you how to accept incoming documents and workflow them.

C.    Workflow / Viewing (Clinical Staff) (1 hour)
This session will focus on the training of Clinical staff, on the viewing of scanned documents, and also the workflow process which will replace your current process of reviewing the daily post (in paper form) and actioning any required items.

D.    Workflow / Viewing (Admin) (1 Hour 30 minutes)
This session will focus on the training of Admin staff, on the viewing of scanned documents and also the workflow process which will replace your current process of receiving the paper documents back from clinicians and actioning any required items.

E.    Intellisense Summarising (1 hour)
This session will cover the read coding functionality within Docman when using Intellisense.  This session should be attended by the key members of staff that currently carry out the read coding for your incoming post.

•    Adding read codes via Intellisense
•    Adding read codes manually via summariser
•    Adding free text information to read codes

F.    Non-Patient Filing (1 hour)
This session will cover the area of Docman that can be used for filing and viewing non-patient documents.  This may include documentation from PCTs, clinical providers, internal guidelines and protocols.

G.    Reporting (1 hour)
This session will cover the reporting functionality within Docman.  This can be used to create custom reports.  Examples of this include reports of how many documents you receive from a certain hospital/provider, or how many documents arrive from a certain department but various hospitals.  Reports can also be created by filtering patient information such as sex and age ranges.

H.    Intellisense Maintenance (2 hours)
This session will cover the maintenance of the Intellisense software.  This includes ‘teaching’ the software to recognise new hospitals and other keywords.

•    Creating hospital / department / admin / result templates
•    Adding keywords to templates during filing
•    Understanding keywords
•    Understanding ‘match all or match part’ in template configuration

I.    Docman / System Maintenance (1 hour 30 minutes)
This session will cover the administration and maintenance of Docman.  This will include topics such as adding new users or changing users access rights, building lists of hospitals / departments, checking the daily backup and installing software updates

J.    Document Maintenance (1 hour)
This session will cover the maintenance of documents filed using Docman.  This will include topics such as editing document descriptions, deleting documents, moving documents between patients.  This should be attended by staff you wish to give such access.
